Questions, answered like a person would.
Including the ones where the honest answer is that you don’t need this yet, or that something else suits you better. The first question below is one of them.
Q-01How do I know if I even need this?
You probably don't, if one person can hold the whole warehouse in their head, you're under about 20 orders a day, and your spreadsheet is wrong sometimes but you always find out the same day. At that size software adds ceremony without removing a problem. Spend the money on labeling and a second scanner instead.
You've crossed the line when any two of these are true: you've hired someone whose main job is knowing where things are; onboarding a new picker takes more than a day because the knowledge isn't written down; you're doing full physical counts because you don't trust the numbers; or you're saying "it's in the system, we just can't find it" more than once a week.
The second one is the one people underweight. The cost of a missing system isn't the mistakes — it's that your business can't hire.
Q-02What makes this different from Sortly, Zoho Inventory or inFlow?
Those are good products and for a lot of businesses they're the right answer. They tell you how many of something you own. Warebin tells you which shelf it's on.
The practical difference is that they do warehouse work as a secondary module of an inventory or accounting product, so you adopt their whole data model to get it. Warebin does warehouse operations and nothing else — no invoicing, no purchase orders, no accounting.
If you want one product for the books and the shelves, genuinely go with one of them. If your problem is that nobody can find anything, that's what this is for.
Q-03Do I have to label my racks first?
You don't have to, but you should, and it's the single highest-value thing you can do whether or not you buy anything.
Across every complaint we tagged, the strongest predictor of an operation that was happy with its setup wasn't which tool they bought — it was whether locations had been labeled and standardized before any system went in. That held true even for the ones still on spreadsheets.
The rules that matter: read it the way a person walks (aisle, then bay, then level), and use the same number of characters every time — A-04-2, not A-4-2, or sorting breaks. It's a weekend and a label printer.
Q-04How long does setup take?
There's nothing to implement and no catalog to build first. You receive one item and it creates the SKU and the location as it goes.
Realistically: about twenty minutes to have your first shelf in and understand how it works. Getting your existing stock in is as long as it takes to walk the building and count it — which most operations should be doing anyway.
Nobody from here needs to be involved, and there is no implementation fee, because there is no implementation.
Q-05Does it work if the wifi in my warehouse is bad?
Partly, and we'd rather be straight about it: Warebin needs a connection to record a movement. If a picker is in a dead spot, the scan won't save until they're back in range.
Barcode scanning itself happens on the phone, so the camera works regardless — it's the saving that needs signal.
Full offline support is the most common thing early users ask for, and it's the next significant thing on the list. If bad coverage in half your building is a dealbreaker today, tell us and we'll let you know when it lands rather than sell you something that won't work.
Q-06Can I get my data out?
Yes, whenever you want, including on the way out. Two CSV exports from inside the app: your current stock by item and location, and the full movement ledger — every receipt, put-away, pick and count with dates.
No request form, no waiting for someone to send it, no email to us required. A product that makes it hard to leave is a product that knows people want to.
When a trial ends or a subscription lapses, the export keeps working. You never lose access to your own records.
Q-07Do I need barcode scanners?
No. The phone in your pocket is the scanner — the camera reads the barcode, and on iPhones where the browser can't do it natively we read the photo instead.
You also don't need barcodes at all to start. Typing a SKU works, and plenty of operations run that way for months before printing a single label.
If you already own handheld scanners that act as keyboards, they work too. Nothing to configure.
Q-08What if the same item is in more than one place?
That's the normal case, and it's the thing most inventory tools handle badly. Stock is tracked per item and per location, not as one number.
So a search doesn't tell you "you have 40" — it tells you 24 in A-04-2 and 16 in C-01-1. Picking works out the route across both, and if one bin comes up short you report it in one tap and the count stays honest.
Q-09Can I import my spreadsheet?
Not yet, and it's deliberate for now. Bulk import from a spreadsheet is easy to build and very good at moving three years of accumulated errors into a clean system on day one.
The advice we'd give even if we had it: walk the building, count what's there, and enter what you actually find. It takes a day and it's the only time your numbers will be truly right.
That said, if you have thousands of SKUs and walking them isn't realistic, say so — email us. Volume of that request is what decides whether it gets built.
Q-10What happens when my free trial ends?
Nothing gets deleted and nothing gets charged without you picking a plan. There's no card on file during the trial, so it can't renew by accident.
When it ends you can still open your warehouse, search it, and export everything. What pauses is recording new movements. Pick a plan and it turns straight back on with everything where you left it.
We email before it ends, once. Not three times.
Q-11Is there a contract? How do I cancel?
Monthly, no minimum term, no notice period. You cancel from inside the app in two clicks — no email to us, no retention call, no form asking why.
You keep access until the end of the month you've already paid for. And if you cancel within your first 30 days because it isn't working, email us and we'll refund the last payment.
Q-12Why is it priced on orders picked instead of users?
Because warehouses get busy by hiring, and per-seat pricing sends you a bigger bill in exactly the month things are going well. It also quietly encourages sharing one login, which destroys the audit trail — and knowing who moved what is half the point.
Every plan has unlimited users, locations and SKUs. Adding a picker on a busy week costs nothing.
If you go over your plan's order count we email you about moving up. We don't stop the warehouse mid-shift over a billing threshold.
